Job Descriptions:

The Logistics/Admin Coordinator will be responsible and accountable overseeing all logistics/Admin functions to ensure smooth, efficient and effective operations in accordance and in compliance with Islamic Relief Worldwide policies, local laws and donor requirements.

 

Under the supervision of Head of Support, the Position will be directly overseeing and managing all Logistics and Admin staff at county office covering functions, Fleet, Assets, Warehouse and inventory, Premise and Facilities and other administration functions. The position is technically responsible for managing field Logistics Staff and will be based in IRW country office in Kabul.

 

Supporting the organization's supply chain operations in Afghanistan will be a major responsibility of the Logistics/Admin Coordinator.

Job Requirements:

Main Tasks & Responsibilities:

Logistics Management:

  • Plan, implement, and monitor all logistics operations, including procurement, warehousing, transportation, and distribution.
  • Develop and enforce standard operating procedures (SOPs) for logistics and supply chain activities.
  • Ensure the timely delivery of goods and services to support program implementation.
  • Coordinate with program teams to forecast logistics needs and ensure the availability of resources.
  • Maintain accurate records of inventory, assets, and equipment, ensuring proper tracking and usage
  • Fleet Management:
  • Oversee and manage the fleet function efficiently and efficiently in accordance with IRW policies, procedures and donor compliance requirements. Managing fleet function includes planning, operating movements, control and monitor fuel consumption, best utilization of resources, contracting, managing drivers, maintaining vehicles and all other fleet tasks.

Assets Management:

  • Oversee and manage the Asset function efficiently and efficiently in accordance with IRW policies, procedures and donor compliance requirements. This involves managing assets, tagging, tracking, disposing, planning and all other tasks required.

Premises & Facilities:

  • Oversee and manage the premise and facilities function efficiently and efficiently in accordance with IRW policies, procedures and donor compliance requirements. This involves managing premises identification, selection, maintenance, contracting, services, tracking, documenting, reporting and all other tasks required.

 

Administration:

  • Oversee and manage admin tasks efficiently and efficiently in accordance with IRW policies, procedures and donor compliance requirements. This involves managing accommodation and travel requirements, interacting with official authorities for visas, work permits and all related matters related to Admin tasks.

 

Procurement Management:

  • Contribute wit the procurement department to ensuring that procurement tasks are executed efficiently and align with organizational needs. This involves effectively participating in procurement transactions related to logistics functions in addition to proper planning, coordination, execution, vendor management, Quality assurance, inventory and delivery management and all related procurement requirements.

 

Vendor, Tender & Contract Management:

  • Conduct supplier evaluations based on performance, quality, reliability and all other criteria.
  • Perform due diligence on vendors, making sure they meet all legal, moral, and regulatory criteria.
  • Contribute with the procurement department to organize contracts, legal paperwork, and vendor profiles to streamline the onboarding process for fleet service providers.
  • Technically contribute with procurement teams to manage all tenders related to logistics/Admin functions.
  • Conduct any Other requirement for logistics/Admin management requested by line Manger and senior Management

Staff Management:

  • Manage all Logistics/Admin staff members in Country Office and technically supervise all field Logistics/Admin teams.
  • Technically guide, support, coach, review documents and work on daily basis with field focal persons.
  • Build and strengthen staff members' abilities, competencies, and knowledge to boost their performance, flexibility, and overall contribution to organization objectives is the main goal of capacity building.

Compliance & Reporting:

  • Ensure reporting system and mechanisms are in place and in accordance with compliance protocols and procedures.
  • Compile all reporters and trackers from field and country offices.
  • Submit reports to head of support including identifying bottlenecks, addressing solutions and providing comprehensive analysis, data analysis and action plans for improvements.
  • Any other requirement related to Reporting process requested by line manager and management.
  • Other Tasks:
  • Conduct any task related to Logistics/Admin requested by line manager as well the management.
