Job Description:

The Human Resources Assistant will be responsible for preparing payrolls for AFGA all projects including monitoring staff attendance. In addition, the incumbent will be responsible to record personnel files in AFGA HRMIS and make sure the personnel files are updated as per personnel file checklist. Below are the major responsibilities of the HR Assistant: 

 

Job Requirements:

Core Responsibilites:

  • Responsible to prepare payrolls for AFGA all projects and make sure the payrolls are submitted free of errors to finance department.
  • Make sure the supporting documents of payrolls are prepared such as attendance report, contract and offer letters of newcomers and clearance forms of laid off staff.  
  • Preparing final payments for employees leaving AFGA and ensuring that final clearances are completed.
  • Be in touch with the provincial employees to submit the manual attendance or timesheet.
  • Provide bank account opening letter to newcomers and have follow-up with those staff who does not have bank account details.
  • Responsible to process clearance with the separated staff and tracking the record accordingly.
  • Responsible for maintaining staff personnel files up to date.
  • Responsible for data entry into the HR Database/HRMIS and keeping the database up to date.
  • Generate reports and information form the HR database/HRMIS as and when required by Management or any internal and external auditors.
  • Assist the Recruitment & Talent Acquisition Officers in the entire recruitment process including written test, interviews and final selection.
  • Printing AFGA employment badge to newcomers and make sure all staff have valid employment ID badge. 
  • Perform any other program related tasks assigned by HR & Admin Manager.
