Job Descriptions:

The Finance Technician – Payroll is responsible for maintaining a credible payroll database and preparation of monthly payroll by the 23rd of each month. The Finance Technician– Payroll will ensure that payroll process is properly documented, filed and easily accessible.

Job Requirements:

  • Minimum bachelor’s degree in finance, Accounting, Economics, or any other related field.
  • A minimum of 3 years’ professional experience in finance and accounting preferably with an international NGO.
  • An implementer of policies, procedures, and projects.
  • Excellent communication skills in both English and local languages.
  • Ability to work effectively with a wide range of people in different departments.
  • Excel skills and solid working knowledge of NetSuite or other similar ERP system.
  • Having MS Access running and programing skill will be an asset

Key Responsibilities

  • Timely recording of staff changes in the payroll data base at the beginning of each month, following approval from the Programme Manager. This includes updates for, new hires & terminations, Position changes, Location transfers, Salary adjustments, Team reassignments, Hazard Allowance and Pension contributions.
  • Check/Reconcile the staff payroll database with the Orbat and the monthly donor budget.
  • Prepare a comprehensive insurance list by the 31st of each month, facilitating review by the Accounts Officer/Head of Finance prior to submission to the Program Manager no later than the 4th of each month.
  • Accurately record verified bank account information for employees in the payroll database.
  • Record payroll data from the HR department, including records of leave, attendance, fines, food allowances, and overtime.
  • Generate a consolidated monthly payroll report from the payroll database, submit it for approval, and process salary payments to staff via bank transfers.
  • Prepare and submit the payroll journal to the Accounts Officer for posting in NetSuite.
  • Prepare accurate cost drivers and cost pool, from the staff payroll.
  • Print payroll sheets, salary slips, and any related documentation for record-keeping, both in the shared drive and in hard copies.
  • Verify team structures based on location.
  • Prepare the wages & running cost cash request by 7th of each month.
  • Record all expenditures and payment vouchers into the financial system (NetSuite).
  • Any other task given by Accounts Officer and Head of Finance
