Hewad Vocational and Social Organization (HVSO) is a not-for-profit, non-political, and non-governmental humanitarian organization. Job Descriptions:

The Admin Finance Officer will be responsible to manage the financial operation and budget of the project in Farah during the project implementation, monitoring and handover stages keeping a close follow up with field team and main office team about the project’s budget, expenditure, reporting, payments and documentation, and the risks involved and how those risks will be addressed. The incumbent will be mainly responsible for handling project budget related activities with the finance and field team and the donor for budget compliance, reporting and other related activities and requirements of the donor and provincial and authorities. If required the Admin Finance Officer will also be responsible to coordinate with the UNICEF zonal team, and local authorities about the project spending and reports. He/ She has to develop reports, present findings and progress, and draw conclusions about the project progress and its implementation in the field

Job Requirements:
  1. Prepare, monitor, and manage project budget at provincial level to ensure the effective allocation of resources in line with project implementation plan.
  2. Process financial transactions, including invoices, payments, and reimbursements, in a timely manner while ensuring to keep all the financial documents and files in place and recorded.
  3. Conduct regular financial reporting and reconciliations to maintain accurate financial records on weekly and monthly basis with the HVSO main office team.
  4. Ensure compliance with financial regulations, policies, and procedures of HVSO, donor.
  5. Assist in the preparation and coordination of audits, providing necessary documentation and support to ensure organizational transparency and accountability.
  6. Maintain accurate financial records and supporting documents for all project related financial transactions.
  7. Oversee day-to-day office operations, including management of office supplies and equipment.
  8. Organize and maintain administrative records, files, and documentation in the best possible manner.
  9. Coordinate and participate in the meetings, events, and travel arrangements for staff as required.
  10. Work closely with other departments to provide financial insights and support organizational objectives.
  11. Communicate effectively with team members, stakeholders, and vendors to facilitate smooth operations.
  12. Prepare reports and presentations for management as needed.
  13. Analyze financial data to identify trends, variances, and opportunities for improvement in organizational financial system.
  14. Identify areas for improvement in administrative and financial processes and implement best practices.
  15. Sign and adhere to HVSO’s internal policies including anti-corruption, PSEA, CoC, Gender, and Child Safeguarding and Protection.
  16. Any other tasks assigned by the supervisor.
