Job Descriptions:

Purpose of the Position

The Finance Assistant will support the finance department in maintaining accurate financial records, processing transactions, and ensuring compliance with GWO policies and donor regulations. The role contributes to the effective financial management of projects and organizational operations.

Scope of Work

The Finance Assistant will provide day-to-day financial and administrative support to the finance unit, ensuring that all financial transactions are properly recorded, documented, and compliant with organizational and donor requirements. The role involves assisting in budgeting, reporting, cash management, and audit preparation, while maintaining high standards of accuracy, accountability, and confidentiality.

Key Responsibilities

  1. Assist in processing daily financial transactions (payments, receipts, and journal entries).
  2. Maintain proper filing of financial documents (vouchers, invoices, receipts).
  3. Ensure all supporting documents are complete, accurate, and properly authorized.
  4. Record financial data into accounting systems and spreadsheets.
  5. Assist in tracking project expenditures against approved budgets.
  6. Support the preparation of budget forecasts and revisions.
  7. Notify the Finance Officer of any budget discrepancies or over-expenditures.
  8. Assist in managing petty cash and ensure proper reconciliation.
  9. Support bank reconciliations on a regular basis.
  10. Prepare payment requests and assist in processing bank transactions.
  11. Support the preparation of internal financial reports.
  12. Assist in compiling financial data for donor reports.
  13. Ensure timely submission of financial documentation.
  14. Ensure compliance with GWO financial policies and donor guidelines.
  15. Assist in internal and external audit processes.
  16. Maintain confidentiality and integrity of financial information.
  17. Coordinate with program staff on financial matters.
  18. Provide support to field offices regarding financial procedures.
  19. Respond to finance-related queries from staff and stakeholders.
  20. The finance assistant will report directly to the Finance Manager and will work closely with all main office staff, project staff, field officers, and other relevant staff.
  21. Any other task by senior management.
Job Requirements:

Qualifications & Experience

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Minimum of 1–2 years of relevant experience in finance or accounting, preferably with an NGO.
  • Experience working with donor-funded projects is an asset.

Skills & Competencies:

  • Strong knowledge of basic accounting principles.
  • Proficiency in Microsoft Excel and accounting software.
  • Good organizational and time management skills.
  • Attention to detail and accuracy.
  • Ability to work under pressure and meet deadlines.
  • Strong communication skills in Dari and/or Pashto; English is an advantage.
