Job Summary: The HMIS Coordinator is responsible for managing, coordinating, and strengthening the Health Management Information System (HMIS) at the provincial or organizational level. The position ensures accurate, timely, and reliable collection, analysis, and reporting of health data from all supported health facilities. The HMIS Coordinator supports evidence-based decision-making by ensuring the integrity and quality of health information in alignment with national HMIS policies, donor requirements, and organizational standards.
Duties & Responsibilities:
- Acts according to the organization established guides, regulations, and policies.
- Develops Spirit of cooperation and understanding among members of the team.
- Compiles, analyzes, and interprets health data and highlights discrepancies and mistakes in the health data format, data tables and data entry processes.
- Performs data cleaning process.
- In co-operation with the program manager oversees the planning and ongoing trainings related to HMIS.
- Conducts initial & refresher HMIS trainings and provides on-job trainings to the relevant project staff.
- Review the HMIS data of the monthly/quarterly reports of BPHS/Health Emergency Response Project and provides regular feedbacks to the provincial teams.
- Provides supports to the project and program staff in HMIS related tasks (e.g., data collection, analysis, and use of health information.).
- Assist the program department in preparation of monthly updates, facility monthly reports (FMRs) and technical quarterly reports of Health Emergency Response Project.
- Provides supports to the program department in preparation of end of project reports.
- Produces HMIS monthly, quarterly, and annual progress reports.
- Maintains proper records of the HMIS related documents.
- Supervise the HMIS activities at clinics and community level according to the plan.
- Provide assistance to the management by providing required HMIS data during the proposals writing process.
- Oversee the collection, compilation, and validation of routine health data from all health facilities.
- Ensure completeness, accuracy, and consistency of data before submission to the national HMIS or donor systems.
- Conduct regular data verification, data cleaning, and quality assessments.
- Maintain updated databases and ensure timely data entry and storage.
- Prepare monthly, quarterly, and annual statistical and analytical reports.
- Maintains close –working relations with stakeholders (MoPH, NGOs and UN agencies as well others involved in HMIS), in consultation with program director.
- Studies the current reporting formats and contribute to the design of new reporting tools according to the needs of projects.
- Actively attends the relevant coordination meetings/workshops and Task force/Working Group outside and inside the organization.
- Provide training and mentorship to HMIS staff, data clerks, and facility-level health workers on data collection and reporting tools.
- Conduct supportive supervision visits to health facilities to strengthen data recording and reporting systems.
- Build capacity of provincial and facility staff in data management, analysis, and use of information for planning and decision-making.
