Job Descriptions:

The HMIS Assistant is responsible for collecting, verifying, entering, and managing health data from MHCO-supported health facilities in Nangarhar Province, working under the supervision of the HMIS/MEAL Coordinator. The role includes reviewing raw data, entering accurate information into the MoPH DHIS2 system, retrieving data when required, maintaining proper filing systems, and supporting the preparation of reports, charts, and statistical summaries. The HMIS Assistant conducts data cleaning, resolves data inconsistencies, provides feedback to facilities, distributes HMIS tools, and offers on-the-job support during supervision visits. This position requires strong attention to detail, good analytical and communication skills, and the ability to ensure high-quality data management in line with MHCO and MoPH standards while upholding safeguarding and confidentiality requirements.

Duties & Responsibilities:

  • The Data Entry Assistant will work under the supervision of HMIS/MEAL coordinator;
  •  the applicant will be responsible for the following tasks:
  • Collect data from all health facilities;
  • Receive and review raw data from all health facilities in hard copy;
  • Enter collected and verified data into MoPH, DHIS2 data warehouse in accordance with the specified procedures;
  • Investigate and resolve problems with data and cross check of monthly reports with other related departments;
  • Retrieve data from DHIS2 warehouse as needed;
  • Proper and professional filing and storage of all data in a sound and professional manner both soft and hard;
  • Prepares source data for computer entry by compiling and sorting information; establishing entry priorities;
  • Make sure to write the accurate spelling and information about the deeds being entered;
  • Enter data into MoPH, DHIS2 warehouse, ensuring the accuracy of data entry;
  • Contribute to project reporting, including support in developing charts, statistical reports and questionnaires;
  • Assist HMIS coordinator in developing, maintenance and modification of data;
  • Complete the data entry process on warehouse in exact date;
  • Verification and cleaning of data before processing them;
  • Response to inquiries regarding entered data as requested;
  • Maintains confidential information;
  • Distribution of HMIS tools on quarterly or yearly bases to all health facilities and do need the need assessment for HMIS tools needs in provincial level.
  • Do regular supervision from the health facilities and on the job training at the health facility level.
  • Contributes to team effort by accomplishing related results as needed;
  • To do any other tasks, within the MHCO central office and field offices of his or her competence, as assigned by the MEAL coordinator.

Job Requirements:
  • Education: MD/Public Health graduates.
  • Minimum 2-year to 3 years work experiences with NGO/INGOs at a similar position.
  • Work experience with other health organization.
  • Excellent communication and interpersonal skills and ability to work and deal successfully in a multi-cultural environment.
  • Problem solving skills.
  • Excellent English and Proficient in local languages (Dari and Pashto).
