Job Descriptions:
  • Review the personal files of employees and ensure it’s up to dated and maintained professionally.
  • update employee personal files regularly and ensure personal file’s requirements are met properly.
  • Assist in staff appraisals including notification to supervisors, employment amendments, contract end date notifications, salary reviews etc.
  • Responsible for tracking leaves, disseminating leaves to staff, recording, filing and monthly report of leave taken and available
  • Assist in posting job advertisements internally, receiving applications forms.
  • Ensure the CVs are received and put in a folder properly and handed over to the relevant section head for short listing and further process.
  • Manage the recruitment process ensuring that the process is fair, transparent and ensure proper background checks and proper documentation of new employees.
  • Preparing longlist of received CV’s for announced position.
  • Review job descriptions and inform the relevant department if updates required.
  • Inform short-listed candidates for test/interviews and the result.
  • Proper record keeping of recruitment files.
  • Participate in interviews in the case HR Manager is absent or busy with other tasks.
  • Provide support in the tracking and documentation of training records and filing.
  • To ensure that recruitment files, staff attendance and timesheets checked, and filled properly on monthly basis.
  • Track and notify managers when probationary/annual performance appraisals are due.
  • Monitoring timesheet completion for all national staff.
  • Always Insuring confidentiality of HR matters.
  • Respond to human resources queries from staff in the unit.
  • Responsible for tracking staff education allowance in tracker and keep the tracker updated.
  • Provide support to HR Manager in managing the day-to-day HR activities.
  • Perform other related duties as requested by supervisor.  
Job Requirements:
  • 3 to 5 years of experience in Human Resource field from NGO or an international organization.
  • A University degree in Business Administration or equivalent.
  • Having basic accounting/ finance background is plus.
  • Excellent communication skills (verbal and written)
  • Excellent interpersonal skills
  • Good follow-up and organizing skills.
  • Ability to multi task.
  • Problem solving skills
  • Ability to work both independently and as part of a team
  • Ability to create a supportive working relationship with all staff.
  • Ability to work under pressure.
