The Supply/Warehouse Officer based in Ghor is in charge of all day-to-day supply and warehouse management of the project. He will work under the direct supervision of the Ghor Logistic Officer for administrative and pharmacy officer for technical purposes. To organize the stock held at the project’s warehouse and supply day-to-day despatch and receipt of stock items to/from the office, health facilities, or other locations as determined by the Logistic Officer. He/She has to supervise the Health Facility Supply distributers.
Responsibilities:
The maintenance and cleaning of the warehouse premises on a regular basis. Ensuring a well-lit, clean, dry environment, with a moderate temperature and easy access to all goods.
Ensuring direct sunlight is minimized and improving air-circulation where possible and necessary.
Ensure efficient and systematic storage for the best possible use of the warehouse space without compromising security or safety or the condition of the goods.
Ensure storage conditions for specific items are met: including special attention for the storage of hazardous or flammable materials.
Management of HF Supply distributers.
Maintenance of clear, accurate documentation for all movement of stock in and out of the warehouse, using m-Supply invoices, Stock cards, Goods Received forms and Waybills.
Direct responsible for m-Supply database and Ensure the system is used always for all the movements in warehouse
Preparation in Excel, of monthly stock report covering all (medical and non-medical) items and any other reporting as required, to be submitted to the Log Officer on a regular basis.
Undertake regular stock reconciliations (at least prior and after each quarterly supply) to verify real quantities against that on paperwork and submit its reports to line manager.
Verify correct signatures and approvals for the release of any goods from the warehouse, ensuring paperwork is collected and correctly completed.
Organize the advance preparation of outgoing deliveries for health facilities or other destinations so that they are ready for loading at the required time.
Coordinate closely with pharmacy staff to ensure drugs are organized according to their requirements and according to specified ambient conditions.
Ensure all reasonable measures are taken for the Health & Safety of warehouse personnel, including clear communication procedures in the event of an accident and easy access to first aid equipment and supplies. Check that the contents of first aid kits are regularly inspected and any necessary replacements made.
Ensure that Fire-Risks are minimized to the fullest possible extent and that fire fighting equipment and procedures are well maintained and clear for all staff.
Maintain clear records on disposal of any stock, seeking the appropriate authorization and completing the required documentation.
Ensure from cold chain, Medicine and medical equipment.
Supervise at least 50% HFs on quarterly bases
Do any official job as assigned by the line manager.
