Scope of Work:
The pharmacy Officer will be responsible for pharmaceutical supply chain management. rational use of drugs, monthly consumption and physical inventory reports of HFs.
Duties & Responsibilities:
Under the supervision of the Field Coordinator & Technically Pharmacy Suervisor, the pharmacy officer will be responsible for the following main activities to ensure good pharmacy management.
• Effective Stock Management, Medical Supplies, and Analysis.
• Give technical support to Health facilities staff at Farah province and ensure they anticipate expired drugs, overstock, sleeping stock, and pre-ruptures (they identify and take proper actions on all stand CK indicators).
• Provide input in the preparation of international medical orders through consumption data and the most recent stock levels.
• Monitor and analyze stock in the pharmacy to avoid ruptures and expired drugs.
• Ensure prompt update of all stock movements, loans, donations, and reception for all drugs, consumables, and medical equipment in stock cards and on Excel.
• Report to Pharma Sup promptly on unusual consumption patterns and give support as required in securing buffer stock.
• Ensure that updated stock and consumption records can be provided for any reporting and forecasting upon request.
• Ensure a timely and regular supply of medical commodities to all project sites and health facilities to avoid stock-outs and interruptions of ongoing activities.
• Collaborate with the Pharmacy Supervisor and Medical Coordinator on the destruction of expired items
• Check and ensure the quality of drugs is in line with MDM internal and national regulations during the procurement process.
• Participates in developing and implementing drug consumption tools in supported facilities and mobile clinics.
• Share in advance information on pre-ruptures of essential drugs with the Pharmacy Supervisor and Medical Coordinator for prompt alternate sourcing to ensure continuity of program activities.
• Ensure overall compilation of consumption data across the mission for all drugs, consumables, medical equipment, and kits.
• Monitor drug consumption and inform the Pharmacy Supervisor in case of unusual consumption.
• Preparing monthly physical inventory of pharma from all MdM HFs in Farah Province.
Warehousing:
• Ensure an organized and clean pharmacy; the drugs must be tidied and organized hygienically and clearly according to the MdM rules of classification of the drug, allowing easy access to the information.
• Organize the drug storage according to international standards (route of administration, alphabetical order of International Non-proprietary Name, FEFO principle, clear labelling with INN + dosage + pharmaceutical form + expiry date) and donor
• Organize and ensure weekly cleaning of the central pharmacy.
• Ensure twice-a-day temperature monitoring of the pharmacy and all refrigerators containing medications or any cold chain products and record it on the follow-up sheet, keeping all stock under controlled temperature.
• Organize drugs, medical supplies, and equipment for easy identification, inventory, and distribution (efficient stock movement).
• Ensure all boxes and items in stock are properly identified and registered in stock cards and Excel.
• Report any deviation from the expected temperature ranges to logistics immediately, enquire about the reasons for the dysfunctions, and propose possible solutions.
Reporting:
• Participate in all the relevant training organized by MDM Page 2 / 5 Curriculum Vitae
• Provide a report after each field visit with objectives achieved and recommendations to be followed.
• Provide the first draft of the monthly analysis for revision of Pharmacy Supervisor and Medco
• Liaise/inform clinicians, doctors, and midwives about drug availability.
• Preparing monthly physical inventory of the Farah Pharma warehouse.
Team Management:
• Make regular supportive supervision of all health facilities or mobile sites supported by MdM using the standard checklist, and provide technical support to relevant staff on standard practice, make recommendations based on the observed gaps for better programming
• Upon request, organize training on drug prescription and the rational use of drugs for medical staff. Preparation for Orders:
• Participate in the analysis of needs, forecasts, and calculation of replenishment orders and buffer stocks; initiate timely procurement of medical orders in collaboration with Pharma Sup
• Establish a good relationship with the different stakeholders to have a smooth implementation of the MDM project
• Be flexible in performing his/her duties to ensure good pharmacy management in the mission.
• Perform other additional duties at the request of the Pharmacy and medical teams
• Contact the PPHD and other partners as delegated by pharmacy for the efficient supply chain management.
