Job Descriptions:

Objectives of the Position

The Admin/Finance Officer will be responsible for ensuring effective financial and administrative support to the project. This includes financial reporting, budgeting, compliance, human resources administration, procurement, and logistics management. The role is essential in maintaining the integrity and transparency of the project’s operations.

Scope of the work:

The Admin/Finance Officer will provide day-to-day operational support for the efficient management of project resources and ensure compliance with both internal policies and donor requirements. The scope of work covers financial planning and monitoring, records management, procurement coordination, and administrative support to project staff. The role requires close collaboration with the project team, finance department, and external service providers to facilitate smooth implementation of project activities.

Key Responsibilities:

The Admin/Finance Officer will be responsible for:

  1. Prepare and maintain financial records, including ledgers, invoices, and receipts.
  2. Monitor project budgets and expenditures to ensure alignment with financial plans.
  3. Process payments, staff advances, and reimbursements in accordance with organizational policies.
  4. Prepare monthly, quarterly, and annual financial reports for internal and donor reporting.
  5. Ensure compliance with donor regulations, national laws, and organizational financial procedures.
  6. Support external and internal audits.
  7. Oversee day-to-day administrative operations of the project office.
  8. Maintain project documentation, correspondence, and filing systems.
  9. Manage logistics for project meetings, workshops, and travel arrangements.
  10. Support procurement processes including sourcing, quotations, and purchasing of goods and services.
  11. Maintain records for project staff, including contracts, attendance, and leave.
  12. Assist in recruitment processes and onboarding of new staff.
  13. Support payroll preparation and submission.
  14. Ensure adherence to health, safety, and security procedures within the project office.
  15. Perform any other duties as assigned by the Project Manager.
  16. Accurate monthly and quarterly financial reports.
  17. Updated financial and administrative records.
  18. Documentation of all procurement and HR processes.
  19. Audit-ready financial files and supporting documentation.
Job Requirements:

Required Qualifications and Experience

  • Education: A Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Experience: At least 3 years of experience in a similar role, preferably within an NGO or donor-funded project.
  • Skills:
    • Solid knowledge of financial management and accounting principles.
    • Proficiency in accounting software (e.g., QuickBooks, Excel).
    • Strong organizational and multitasking skills.
    • Excellent written and verbal communication skills.
    • High level of integrity and attention to detail.
