- In charge of the facilitation of tests and interviews.
- In charge of leave management of the office and HF Staff.
- In charge of making the leave planner quarterly and sharing it with departments.
- In charge of file Management.
- In charge of HR follow-up (Training Database & Contract access databases)
Objective 1هدف اول: Recruitment process.

- Uploading needed documents to the team in the recruitment folder, and following up on the announcements with the Coordination HR team.
- Keep a copy of the ACBAR announcement and send a copy to the relevant HF and pin it in the office HR notice boards.
- Prepare the longlist after the closing date and share it with the hiring manager along with the applicant's CVs.
- Coordinating test/interview with hiring managers after receiving the shortlist.
- Call and email the candidates for the written test/interview as per the recruitment manual.
- Organizing the technical tests and conducting the interviews based on need.
- Arrangement of test papers and assigning unique codes to the papers.
- Asking the selected candidates for reference check details and sending them after the approved selection sheet.
- updating the Recruitment follow-up and sharing with the HR officer on a weekly basis.
- Filling in properly all recruitment documents, shortlist, written test, interview, and selection sheet.
- Ask for a list of documents needed to open an HR file for a new employee after the successful reference check.
- Send notification email to non-selected candidates after the hiring process of the selected candidate.
-Preparing recruitment files and HR files of selected candidates.
Objective 2هدف دوم: Monthly attendance and leave management.
Activities/Main dutiesفعالیت ها/ وظایف عمده:
- Prepare the monthly attendance sheet for all office and HF staff.
- Collect the attendance sheet of the previous month and submit the new attendance sheet as per the checklist.
- Check and review the attendance sheet and leave form, and make sure nothing is missed.
- Management of leave records, and prepare the leave planner on a quarter basis.
- Follow up and communicate working hours with staff and share needed instructions and updates on attendance and leave issues.
- Follow up on the leave planner with the head of departments.
- Collect monthly leave reports from relevant supervisors and prepare the list for processing the monthly salaries of the HF staff.
Objective 3هدف سوم: . Filing & Documentation.
Activities/Main dutiesفعالیت ها/ وظایف عمده:
- Fill in the needed information in the new staff info database for preparing the external letters, contract, Personal file forms, attendance sheet, and ID card.
- Create HR personal file for new employees, make sure it contains all documents as per the HR checklist.
- Prepare the recruitment file and make sure it is completed and signed where needed.
- Communicate preparing PU-AMI ID cards for new employees from the 1st day of contract with coordination HR.
- Letter management, record in and out letters in the log book, and document the letters properly.
- Scanning of all HR file documents and saving them in an electronic Archive folder, in OneDrive or Teams SharePoint.
Objective 4هدف چهارم : Processing monthly payroll.
Activities/Main dutiesفعالیت ها/ وظایف عمده:
- Collecting leave reports and night duty plans from HFs' supervisors.
- Review the reports and compare with attendance sheets and leave forms randomly.
- Ask for any relevant and needed documents from the staff in advance which needed for the payroll process.
- Add new staff in the Homere Database.
- Do the needed renewal and amendments at the start of each month before processing the payroll in the Homere.
- Update all the assigned sections of the database and share the database along with the Excel sheets with the HR office for review and further process.
Objective 5هدف چهارم : Follow up and Miscellaneous
Activities/Main dutiesفعالیت ها/ وظایف عمده:
- Daily follow-up of attendance sheets and leave management.
- Follow-up of staff medical certificate
- Follow-up of staff work permit.
- Preparing monthly screening report and sharing with HR Officer.
- Update staff contact list and turnover tracking sheet as per the need.
- Preparing and printing training certificates for the trainee.
- Any other relevant tasks that may be assigned by the line manager.
