Job Descriptions:

The Procurement & Inventory Assistant is a full-time position that is responsible for providing administrative and operational support to PARSA’s procurement and inventory management functions. The position supports transparent, efficient, and compliant procurement processes; maintains accurate inventory and asset records; assists the Procurement and Inventory Officer in implementing procurement and inventory activities. The position works closely with the Procurement and Inventory Officer to facilitate timely procurement of goods and services while ensuring proper documentation, accountability, and adherence to organizational standards.

To perform this job successfully, an individual must be able to perform each job duty satisfactorily. Essential job duties include the following:

Procurement Support:

·  Assist in implementing procurement activities in accordance with PARSA Procurement Policies, Procedures, and Donor requirements.

·       Support procurement planning and follow-up on procurement requests from different departments.

·   Prepare and organize procurement documentation, including Requests for Quotations (RFQs), purchase orders, bid opening records, evaluation documents, and procurement files.

·       Support supplier sourcing activities and maintain an updated supplier/vendor database.

·       Assist with market assessments, price verification, and supplier communications.

·       Track procurement processes and provide regular updates to requesting departments and the line manager.

·       Ensure procurement files are complete, accurate, and properly maintained.

 Inventory Support:

·       Maintain accurate inventory records, stock cards, and asset registers.

·       Support the recording, tracking, and documentation of asset movements, transfers, and disposals.

·       Conduct regular physical inventory and stock verification exercises and report any discrepancies.

·       Receive, inspect, store, and issue office supplies, equipment, and other materials in accordance with established procedures.

·       Ensure proper storage and safeguarding of organizational assets and supplies.

·       Prepare regular inventory and stock reports.

 Documentation, Compliance, and Reporting:

·       Maintain organized electronic and hard-copy procurement and inventory records.

·       Ensure procurement and inventory documentation is complete and available for internal and external audits.

·       Support audit processes by providing accurate records and supporting documentation.

·       Assist in maintaining compliance with applicable PARSA Policies and Procedures, and Donor requirements.

·       Perform other duties and responsibilities assigned by the line manager in accordance with organizational priorities.

Job Requirements:

·       Bachelor’s degree in Business Administration, Supply Chain Management, Economics, Logistics, or a related field.

·       Minimum of one (1) year of relevant experience in procurement, logistics, inventory management, or administrative support.

·       Previous experience working with NGOs/INGOs is preferred.

·       Familiarity with donor-funded project requirements and procurement documentation is an advantage.

·       Fluency in Dari; good working knowledge of English; Pashto is an asset.

·       Proficiency in Microsoft Office applications, particularly Microsoft Excel and Word.
