Administrative responsibilities:
· Manage office supplies and maintain inventory records.
· Coordinate procurement requests and administrative support services.
· Ensure proper maintenance of office equipment and facilities.
· Support logistics arrangements for project activities and field visits.
· Coordinate vehicle and asset documentation when applicable.
· Ensure project documentation is properly archived and accessible.
· Support procurement processes including preparation of purchase requests, quotations, bid analyses, and procurement tracking in accordance with organizational policies.
· Maintain and update asset registers, inventory records, and stock movement records.
· Ensure proper asset tagging, tracking, and periodic physical verification of project assets.
· Monitor office facilities and coordinate maintenance, repairs, utilities, and security arrangements.
· Coordinate vehicle management activities including fuel monitoring, logbooks, maintenance schedules, and vehicle documentation.
· Perform any other assigned tasks by the SCO Officer.
Financial responsibilities:
· Handle the financial to support the field finance team.
· Ensuring the financial operations are in compliance with RI standard Financial Policy and Procedures as well as the donor rule and regulations.
· Handling petty cash payments and safekeeping of physical cash in the safe box.
· Performing cash counts on timely bases.
· Proceeding the payments through cash box and bank account by the issuance of the cheque or transfer letters.
· Ensuring all transactions are supported by complete supporting documents.
· Verifying the expenditure documents of TSFP and managing their payments on timely bases.
HR responsibilities:
· Maintain and update personnel files for TSFP staff.
· Support recruitment processes, including vacancy announcements, shortlisting, interviews, and onboarding.
· Maintain staff attendance records, leave records, and timesheets.
· Orient new employees on organizational policies and procedures.
· Ensure compliance with labor laws and Relief International HR policies.
· Maintain confidentiality of employee information and records.
· Maintain proper filing systems for HR documents.
