Job Descriptions:

Job Purpose

The Data Manager / Supply Chain is responsible for managing, analyzing, and maintaining supply chain data to ensure accurate tracking of inventory, procurement, distribution, and logistics activities. The role supports evidence-based decision-making, improves operational efficiency, and ensures compliance with organizational and donor requirements.

Key Responsibilities

1. Data Management & Reporting

  • Develop and maintain supply chain databases, trackers, and information systems.
  • Ensure accurate and timely data entry related to procurement, stock, and distribution.
  • Generate regular reports (weekly, monthly, quarterly) on supply chain performance.
  • Analyze data trends to identify gaps, inefficiencies, and risks.
  • Ensure data integrity, consistency, and confidentiality.

2. Inventory & Stock Data Control

  • Monitor stock levels and consumption trends across warehouses and health facilities.
  • Maintain updated stock records (bin cards, stock cards, electronic systems).
  • Track stock movements including receipts, transfers, and dispatches.
  • Support stock reconciliation and periodic physical inventory counts.

3. Procurement Data Support

  • Maintain procurement tracking systems for purchase requests, orders, and deliveries.
  • Provide data analysis on supplier performance, lead times, and procurement cycles.
  • Support tender and contract documentation tracking.

4. Distribution & Logistics Data

  • Track distribution plans and delivery status to ensure timely supply of goods.
  • Maintain records of transportation, dispatch, and delivery confirmations.
  • Analyze logistics performance and recommend improvements.

5. System Development & Improvement

  • Support implementation and improvement of supply chain information systems (e.g., Excel-based tools, ERP systems).
  • Automate reporting tools where possible to enhance efficiency.
  • Train supply chain staff on data tools and reporting templates.

6. Compliance & Documentation

  • Ensure all data and records comply with organizational policies and donor requirements.
  • Maintain proper filing (soft and hard copies) of supply chain documents.
  • Support audits by providing accurate and complete data.

7. Coordination & Communication

  • Work closely with procurement, warehouse, and program teams to ensure data alignment.
  • Provide technical support for data-related issues in the supply chain unit.
  • Participate in coordination meetings and share data insights.
Job Requirements:

Required Qualifications & Experience

  • Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, Statistics, or a related field.
  • Minimum 3–5 years of relevant experience in supply chain, logistics, or data management (NGO experience preferred).
  • Strong experience in data analysis and reporting tools (Excel, Power BI, or similar).
  • Knowledge of supply chain processes (procurement, warehousing, distribution).
  • Experience with ERP systems is an advantage.
