Shining Star Educational Organization of Afghanistan (SSEOA) is a non-profit, non-governmental, and          non-political organization registered with the Ministry of Economy of Afghanistan, with Registration Number 4388 dated February 18, 2018. SSEOA works in the fields of education, health, and livelihood in the remote regions of Afghanistan. SSEOA envisions creating educational opportunities for girls and women to grow, thrive, and prosper. Job Descriptions:

Position Summary

The Procurement Assistant will support the procurement unit in ensuring timely, cost-effective, and compliant acquisition of goods, works, and services. The role contributes to maintaining procurement records, supplier management, and adherence to procurement policies.

 Key Responsibilities

Procurement Support

  • Assist in preparing and processing purchase requests (PRs) and purchase orders (POs).
  • Support in collecting quotations, bids, and proposals from vendors.
  • Prepare bid analysis summaries and assist in evaluation processes.
  • Ensure procurement processes follow organizational and donor regulations.
  • Track procurement status and follow up with suppliers on delivery schedules.

Documentation & Record Keeping

  • Maintain accurate and up-to-date procurement files and documentation.
  • Ensure all procurement documents are properly archived (hard and soft copies).
  • Assist in preparing procurement reports and updates.

Supplier & Market Coordination

  • Maintain supplier database and update vendor information regularly.
  • Liaise with vendors regarding quotations, delivery, and payment follow-ups.
  • Conduct basic market assessments and price comparisons.

Logistics Coordination

  • Coordinate with logistics and warehouse teams for receipt and inspection of goods.
  • Assist in verifying delivered items against purchase orders and specifications.

Compliance & Reporting

  • Ensure procurement activities comply with internal policies and donor requirements.
  • Assist in audit processes by providing required procurement documentation.
  • Report any procurement issues or discrepancies to the supervisor.

Administrative Support

  • Provide general administrative support to the procurement unit.
  • Assist in organizing procurement committee meetings and preparing minutes when required.
Job Requirements:

 

  • Bachelor’s degree in Business Administration or related field.
  • Minimum of 1–2 years of relevant experience in procurement or logistics.
  • Familiarity with procurement procedures in NGOs/INGOs is preferred.
  • Strong organizational and record-keeping skills.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Good communication skills in English and local languages (Dari/Pashto).
