Summary of Key Functions
The pharmacy assistant is responsible for all pharmaceutical-related tasks in the CARE Paktia Office. He is responsible for managing the pharmaceutical-related activities for the health projects. He will be responsible for the quantification, Local PR, and GRN at the provincial level, development and distribution of the medical commodities to the targeted projects and will be responsible for the orientation on the proper reporting and recording of all pharmaceutical and nutrition commodities of Health team staff (the health team in-charge, midwives and nutrition nurse). He needs to make sure that projects are implemented according to the agreed project log frame.
Objective 1: Manage all pharmaceutical tasks and nutrition commodities
• He will oversee overall pharmaceutical management at CARE Paktia office.
• Ensure Medical commodities are supplied and follow up to the targeted area (Health Facilities) according to their needs.
• Ensure that the data collected from HFs and pharmacy stock is accurate and shared with line manager.
• Proper distribution, management, and follow-up of pharmacy stock and other pharmacy activities at the sub-office level.
• Make sure that the pharmacy standards are respected at CARE pharmacy stock (Paktia Office) and HFs relevant department for further process follow-up.
• Quantification of medical commodities based on the need of the project in the targeted area.
• Supervision and monitoring of pharmaceutical management in the targeted projects/HFs.
• Prepare reception (GRN) of orders from suppliers and follow up of pharmacy orders at the provincial level in support of the senior pharmacy officer at the national level.
• Coordinate with the Procurement department in distribution RFQs to the vendors and participate in the Procurement process and sample checking of medical commodities if need.
• Prepare and submission of medical commodities consumption reports.
• Communication and coordination with all respected stakeholders.
• Assist the senior pharmacy officer on procurement of pharmaceutical commodities in different stages (PR check, PO development, RFQ preparation/distribution etc.)
• To ensure the proper pharmaceutical management is in place in the stock (FEFO, FIFO, and usage of nearly expired drugs, storage condition, temperature……etc.)
• To update stock card and perform physical inventory on regular basis (Monthly, Quarterly, semi-annual, or need base) in provincial level.
• Ensure all drugs distributed to the HF’s processed according to the CARE stock management system.
• Build capacity of the all the related project teams in the provinces on effective pharmaceutical management at the field level.
• Prepare and submit the pharmaceutical reports to the line manager.
Objective 2: Record and collect all relevant data and report on monthly consumption, stock in and stock out:
• Provide a timely weekly, monthly, and quarterly update report.
• Provide monthly consumption reports throughout the related health facilities
• Regular check the stock out and stock in and timely provide technical support to the health teams
• Do the regular data analysis, stock out, stock in, and balance report
• Develops and promotes effective collaboration between and across units to achieve shared goals and optimize results.
