POSITION OBJECTIVE
The AKF Health Department is seeking a dedicated National Program Officer-Health to provide technical and administrative support to the health program, reporting to the National Lead. The role involves maintaining up-to-date soft and hard records of project and departmental documents, following up of YPOs and MOUs, managing letters, organizing meetings and events, and offering administrative assistance to the coordinator as needed. This position is crucial to ensuring the effective implementation of health projects.
JOB DUTIES AND RESPONSIBILITIES
The National Program Officer-Health will support the National Lead and project coordinators within the AKF Health and Nutrition department with routine tasks, including maintaining/updating program records, following up YPOs and MOUs, coordinating with sectorial ministries and presenting projects, filing, photocopying, and taking meeting minutes and meeting arrangements. Key responsibilities include:
Processing and coordinating MOUs related to the health department involves collaboration with stakeholders, including the Ministry of Public Health (MoPH), WHO, UNICEF, AKHS, FMIC, and other agencies.
Processing YPOs internally within the AKF department for further approval and coordinating with the health regional team.
To assist the health team, including managers and coordinators, in achieving health department goals and objectives in a timely manner.
Facilitate and coordinate the processing of relevant documents between AKF, AKHS, FMIC, and donors.
Review project reports for the relevant health projects from AKHS and coordinate with project focal points of the project.
Providing administrative and operational support for the implementation of health programs.
Liaising with the admin and logistic/procurement department to address administrative, logistical, and procurement needs for the NPO Health Office.
Coordinating travel documentation for health program staff and collaborating with the admin and transport teams at AKF Afghanistan.
Assisting with travel and accommodation arrangements for health staff and visitors/consultants traveling to Kabul or regional areas.
Maintaining both soft and hard copies of program documents and ensuring an organized filing system.
Preparing delivery notes, drafting letters, updating inventory, receiving and distributing communications, and supporting office operations.
Offering logistical support for workshops and meetings related to the health program.
Organizing, attending, and participating in health meetings as assigned.
Documenting meeting minutes and providing support during sessions, conferences, and meetings.
Ensuring effective communication and maintaining positive relationships with stakeholders.
Collaborating with national and provincial health teams to ensure the smooth implementation of health projects and programs.
Translate letters from English to Dari and Dari to English.
Join monitoring visits to targeted project areas if required and support the health team with administrative support for smooth implementation of projects.
Process purchase requests in the Finance and Procurement team as needed for the health department.
Work closely with the Administration, Finance, HR, IT, and Procurement departments on health-related administrative work.
Perform administrative duties, prepare documents, and develop an efficient document management system.
Carry out responsibilities in a manner that reflects AKF’s commitment to protecting children and vulnerable adults in accordance with the Safeguarding Policy and Child Safeguarding Policy.
Report any suspicions or actual violations of the Safeguarding Policy and/or Child Safeguarding Policy as per the provided training.
OCCASIONAL SIGNIFICANT DUTIES AND RESPONSIBILITIES
To respond to inquiries from staff members relating to Health administration matters with due sensitivity and confidentiality.
Perform any other duty assigned by the supervisor.
