Job Descriptions:

Job Summary:
•Assist with Administrative task in the office management and administrative affairs of the program and makes sure that needed office facilities, equipment, furniture and material are available and maintain in good conditions.•Maintain record of inventory of Programs’ equipment, furniture and material and submit report to Admin Supervisor on regular basis often on quarterly basis.•Carry out procurement activities and preparation of purchase requisitions, in respect with CARE Afghanistan and projects donors’ policies and procedures.•Assist and develop administrative systems & procedures of Program and ensure their adequate implementation.•Ensuring adequate filing system is in place.•Ensure accurate reporting and exchange of information between the program and otherCARE units.•Act as interpret English-Dari-Pashto for Program while in need.•Support the establishment and maintaining of a uniform administrative support systemamongst department administrations.•Be update on the affairs of the department and capable for representing the activitiesand priorities of the department to non-department members.•Provide quarter based report of Inventory procedure and to the concerned department and inform

Job Responsibilities:

Office Management and Inventory Control Principal Tasks:Oversee and maintain the inventory of office equipment, furniture, and materials to ensure they are available and in good condition. Maintain a regular reporting schedule for inventory status to the Admin Supervisor, typically on a quarterly basis.
Rationale and Impact: Ensures that the program’s physical assets are well-managed and readily available, supporting operational continuity. Proper inventory control reduces unnecessary procurement and helps maintain budget efficiency, enhancing the program's overall effectiveness.

Administrative Support and System Implementation Principal Tasks: Assist in developing, implementing, and maintaining administrative systems and procedures for the program. Ensure a well-organized filing system is in place, provide administrative support to program staff, and establish a consistent support system across departments. Coordinate with the Admin Supervisor to support provincial projects as needed. Rationale and Impact: This responsibility establishes a streamlined administrative work-flow, ensuring that staff can perform their duties efficiently. A consistent support system across departments fosters collaboration and operational consistency, directly enhancing productivity and project alignment

Communication and Coordination Principal Tasks: Act as a communication liaison, ensuring accurate and professional communication with CARE units, project stakeholders, and non-department members. Act as an interpreter for English-Dari-Pashto when needed and keep the department updated on critical information.

Procurement and Compliance Principal Tasks: Conduct procurement activities by preparing purchase requisitions and ensuring compliance with CARE Afghanistan and donor policies. Coordinate with vendors and maintain accurate records of all procurement activities.
Rationale and Impact: Proper procurement practices ensure that the program acquires necessary resources efficiently and ethically, adhering to organizational and donor guidelines. This minimizes risks, ensures budget adherence, and supports timely access to required resources, directly impacting program success and sustainability.

Reporting and Documentation Principal Tasks: Provide quarterly reports on inventory procedures to relevant departments and maintain a comprehensive documentation system for all administrative activities. Ensure all records and reports are up-to-date and accessible for internal and external audits.

Job Requirements:

Education:
University Degree: in relevant fields, such as business administration

.Experience:

2-Years experience In Administration preferably with International NGOs and organizations.

This position qualifies as Problem-Solving Level 2 due to its structured, routine tasks in customer service, program support, and communication, all within set guidelines. Responsibilities like inventory control, procurement, and administrative support follow established policies, requiring consistent execution rather than complex problem-solving. The focus is on maintaining service standards and clear communication, fitting Level 2 criteria.
