1. File and label all Personnel Affairs files and documents of the PA Department.
2. Ensure that the filing system is up to date and that all PA documents are properly maintained.
3. Maintain and regularly update employees’ personal files.
4. Prepare personnel files for newly hired employees.
5. Perform general administrative duties, including but not limited to photocopying, filing, and scanning PA documents.
6. Review staff timesheets on a monthly basis to ensure that attendance and timesheets are properly checked and completed.
7. Assist in tracking employee leave and updating timesheets on a monthly basis.
8. Check staff timesheets against attendance reports and ensure that both records are consistent.
9. Prepare interview packages for panel members whenever interviews are scheduled.
10. Maintain strict confidentiality of Personnel Affairs matters and information.
11. Maintain proper records of recruitment files.
12. Provide copies of new employees’ agreements and Tazkiras to the Finance Department.
13. Provide documents or copies of documents to other departments whenever required.
14. Submit or collect PA-related documents to or from other departments, as required.
15. Prepare PA documents for Internal Audit/External Audit review whenever requested.
16. Perform any other related duties assigned by the supervisor.
