Position Summary:
We are seeking a highly responsible, experienced, and self-driven Provincial Office Manager to oversee the full operations of our Herat Provincial Office. The incumbent will be the highest-ranking representative of the company at the provincial level and will be responsible for managing all administrative, operational, and office-related affairs.
The Provincial Office Manager will act as the official representative of the company in Herat Province, ensuring smooth coordination between the provincial office and head office, while maintaining efficiency, discipline, and compliance with company policies.
In this context, the Provincial Office Manager is entrusted with the following:
- Full responsibility for overall management and supervision of the Herat provincial office;
- Oversight of all administrative, operational, and support functions;
- Acting as the sole authorized representative of the company in the province;
- Ensuring proper implementation of company policies, procedures, and decisions at the provincial level.
Essential Functions and Responsibilities:
1. Office Management and Administration:
- Manage all day-to-day office operations and administrative functions;
- Ensure proper maintenance of office records, documentation, and correspondence;
- Supervise office supplies, assets, and facility management;
- Ensure a well-organized, efficient, and professional office environment.
2. Administrative Leadership:
- Oversee all administrative tasks, including HR coordination, logistics, and support services;
- Ensure timely execution of administrative decisions and office procedures;
- Maintain discipline and proper workflow within the office.
3. Representation and Coordination:
- Represent the company in all official matters within Herat Province;
- Liaise with government authorities, local stakeholders, and partners when required;
- Ensure effective communication between the provincial office and the head office.
4. Compliance and Reporting:
- Ensure compliance with company policies and internal regulations;
- Submit regular operational and administrative reports to head office;
- Maintain transparency and accountability in office operations.
5. Leadership and Supervision:
- Supervise all provincial office staff and support personnel;
- Assign tasks and monitor staff performance;
- Ensure productivity and professional conduct of all employees.
Technical Proficiency (Mining Project Context):
1. Mining Operations Awareness:
- Basic understanding of mining project operations, including exploration, development, and production phases;
- Familiarity with field operations, site logistics, and support services in mining environments;
- Awareness of safety, environmental, and operational standards in mining sites.
2. Administrative Support for Mining Projects:
- Ability to manage administrative requirements of mining field offices, including staff coordination, transport, accommodation, and logistics;
- Experience in supporting large-scale, remote project operations;
- Coordination of communication between site operations and head office.
3. Procurement and Logistics Understanding:
- Familiarity with procurement processes for mining-related goods and services (equipment, fuel, spare parts, and supplies);
- Ability to supervise basic procurement documentation and vendor coordination;
- Understanding of cost control in field operations.
4. Regulatory and Compliance Awareness:
- Basic knowledge of mining-related regulatory frameworks, including government reporting and local authority coordination;
- Understanding of labor, environmental, and operational compliance requirements in mining areas.
5. Data and Reporting Skills:
- Ability to prepare administrative and operational reports for mining field activities;
- Basic use of MS Excel for tracking logistics, staff movement, and office expenses;
- Support for data collection and reporting for management decision-making.
