Position Summary
The Cleaner is responsible for maintaining the cleanliness, hygiene and general order of VDO offices and other assigned facilities. The Cleaner will ensure that offices, meeting rooms, common areas, kitchens, washrooms and other facilities are cleaned according to VDO standards and that cleaning materials and hygiene supplies are properly maintained.
The position requires reliability, punctuality, cleanliness, confidentiality, honesty and respectful professional conduct.
Key Duties and Responsibilities
Office Cleaning and Hygiene
- Clean offices, meeting rooms, corridors, reception areas and other common spaces daily.
- Sweep, mop and clean floors and other surfaces.
- Dust desks, chairs, shelves, windowsills and office furniture.
- Clean doors, windows and glass surfaces as required.
- Empty waste bins regularly and dispose of waste in designated areas.
- Maintain cleanliness and hygiene of washrooms throughout the working day.
- Refill soap, tissue and other hygiene supplies when required.
- Clean and maintain kitchen and refreshment areas.
- Ensure drinking-water and common-use areas remain clean and hygienic.
- Conduct additional cleaning before and after meetings, workshops or organizational events when required.
Meeting and Hospitality Support
- Ensure meeting rooms are clean and properly arranged before meetings.
- Support basic preparation of meeting rooms, including arranging chairs, tables and drinking water.
- Provide tea, coffee, water or other approved refreshments to staff and visitors when assigned.
- Clean and restore meeting rooms promptly after meetings and events.
- Maintain professional and respectful behaviour when providing services to donors, partners, international visitors and other guests.
Cleaning Supplies and Equipment
- Use cleaning materials and equipment safely and responsibly.
- Keep cleaning materials properly stored and away from unauthorized access.
- Monitor stocks of soap, tissue, detergent, cleaning materials and other hygiene supplies.
- Inform the responsible Admin staff before supplies run out.
- Avoid unnecessary waste or misuse of VDO supplies.
- Immediately report damaged cleaning equipment or facility maintenance requirements.
Office Safety and Facility Support
- Immediately report water leakage, electrical problems, broken doors/windows, damaged furniture or other facility concerns.
- Keep corridors, entrances and emergency exits clean and unobstructed.
- Immediately report suspicious items, safety hazards or unusual circumstances to the responsible supervisor or Security Officer.
- Follow VDO health, safety, fire and emergency procedures.
- Take reasonable care when cleaning around electrical equipment, computers and organizational assets.
Confidentiality and Office Privacy
Because the Cleaner may work in offices containing organizational documents and sensitive information, the Cleaner shall:
- Respect the privacy of staff offices, desks and workspaces.
- Never open, read, photograph, copy, remove or interfere with documents found on desks or in offices.
- Never access staff computers, phones, files, drawers or other personal/organizational materials without authorization.
- Immediately hand over any money, documents, identification cards or valuable items found during cleaning to the responsible Admin staff.
- Maintain confidentiality regarding information, meetings, visitors or conversations observed or heard while performing duties.
Professional Conduct
The Cleaner shall:
- Report to work punctually and maintain regular attendance.
- Maintain appropriate personal hygiene and a clean appearance.
- Treat all staff, visitors and colleagues with dignity and respect.
- Maintain professional behavior toward women and men staff, international personnel and visitors.
- Not request or accept unauthorized payments, gifts or favors.
- Not remove food, supplies, equipment or other VDO property without authorization.
- Avoid unnecessary interruption of staff while cleaning offices.
- Follow reasonable instructions from the designated supervisor.
- Comply with VDO's Code of Conduct, Safeguarding and PSEAH requirements.
