The finance Officer is responsible for financial management, and operational coordination of K2K project. The role focuses primarily on finance functions including budgeting, reporting, and compliance, while ensuring that procurement and day-to-day operations are carried out in line with organizational standards & procedure. A strong command of QuickBooks and other financial management tools is essential for this position.
. Finance (Primary Responsibility)
- Lead financial monitoring and coordinate with procurement team for organizational operations and projects.
- Accurately input and upload Purchase Request Forms (PRFs) and expense as per pre defined procedure.
- Review and print all purchase request forms (PRF), received from project, ensuring compliance with internal policies and standard requirements.
- Prepare purchase form (PF), print and scan for further due process.
- Uploading (PF) to Microsoft Teams for approval.
- Preparing cash request for the approved PF.
- Act as the primary site contact for mechanics and engineers to identify exactly what machinery parts and equipment components are needed for heavy road construction and mining gear.
- Managed and monitored cash flow, performed bank reconciliations, and tracked expenses to maintain accurate financial records and support effective financial management.
- Entered and maintained accurate financial data in QuickBooks Online (QBO), including invoices, bills, expenses, payments, and bank transactions.
- Prepared, reviewed, and completed required documentation with accuracy and attention to detail.
- Keep organized digital and physical files of all site PRFs, approved digital workflows, machinery maintenance logs, and fuel dispatch reports.
- Maintained accurate and up-to-date financial records by utilizing QuickBooks and other accounting/ERP systems.
- Support both internal and external audits by providing accurate documentation.
- Ensure statutory compliance including taxation, labor laws, and financial reporting obligations.
- Train and supervise finance staff in effective use of QuickBooks and other finance tools.
2. Procurement & Supply Chain
- Oversee procurement processes ensuring transparency, competitiveness, and compliance.
- Review procurement plans, quotations, bid evaluations, and vendor contracts.
- Maintain a supplier database and monitor vendor performance.
- Supervise inventory management, asset control, and supply chain efficiency.
4. Reporting & Compliance
- Ensure records are organized, documented, and audit-ready.
- Identify risks in financial and operational areas and recommend corrective actions.
- Enforce compliance with government guidelines, company policies, and legal requirements.
