Job Summary
The Document/Data Collector is responsible for the accurate collection, organization, maintenance, and tracking of all project-related documents for road construction works. The role ensures that all site data, measurements, material records, and reports are properly documented, up-to-date, and compliant with company standards and project requirements.
Key Responsibilities
1. Daily Site Documentation
- Collect and maintain Daily Progress Reports (DPR)
- Daily Work Logs (activities, chainage)
- Weather Record Sheets
- Manpower Records
- Equipment/Plant Logs
2. Measurement & Quantity Documentation
- Maintain and update:
- Measurement Book (MB)
- Level Sheets (before & after levels)
- Thickness Records
- Quantity Calculation Sheets (m², m³)
- Chainage-wise Progress Sheets
3. Material Records Management
- Collect and track:
- Material Delivery Notes (MDN)
- Truck/Trip Records
- Material Consumption Reports
- Bitumen Delivery & Usage Records
- Stock Registers (aggregate, bitumen)
4. Asphalt Work Documentation
- Asphalt Temperature Records (plant & site)
- Paving Records (start/end time, location)
- Compaction Records (rollers, passes)
- Daily Asphalt Production Reports (from plant)
5. Survey & Layout Data
- Maintain:
- Alignment Data
- Bench Mark (BM) Records
- Cross-section Sheets
- Setting-out Data
6. Testing & Laboratory Reports (Collection Only)
- Gather and file:
- Field Density Test (FDT) Reports
- Core Cutting Results
- Marshall Stability Tests
- Extraction Test Reports (bitumen %)
- Aggregate Gradation Reports
7. Approval & Inspection Documentation
- Organize:
- RFI (Request for Inspection) Copies
- Inspection Reports
- Approved Drawings
- ITP (Inspection Test Plan)
8. Financial & Payment Support Documents
- Assist in preparation and tracking:
- IPC (Interim Payment Certificate) Data
- Quantity Summaries for Billing
- Work Progress Records for Payments
9. Final Project Records
- Compile and archive:
- As-built Drawings
- Final Quantity Reports
- Project Completion Documentation

10. Filing & Record Control
- Maintain a structured filing system (by date, layer, and activity)
- Ensure availability of both hard and soft copies (Excel/PDF)
- Perform regular data backups
- Verify that all documents are properly signed and approved
- Ensure easy retrieval of documents when required
