Job Purpose: The Support Staff (Registerar) is responsible for ensuring the efficient and accurate registration of patients, proper management and filing of patient records, and the collection and reconciliation of registration fees. The role supports smooth patient flow by maintaining organized records, preventing duplication, and directing patients to appropriate services, while upholding accountability, confidentiality, and order within the registration office.
Key Responsibilities and Tasks:
Patient Registration, Financial Accountability and Records Management:
- Register all outpatients in sequential order, recording the date and demographic information on the patient card.
- Collect card fees from patients, including new registrations, follow-up visits, and lost card replacements.
- Retrieve patient records for returning patients.
- Ensure duplicate patient records are not issued.
- Reconcile card fees received with the NETC Project Manager after clinic hours and submit the collected amount to the NCA cashier.
- File patient cards and records according to the established filing system.
- Maintain patient records with accuracy and proper organization.
- As needed to look up patient numbers in the relevant database for returning patients who have lost their patient number.
- File patient cards and records according to the established filing system once procedures are complete.
- Direct patients clearly to the administrative office or appropriate ward.
- Count and balance money against records, then review accounts daily with the NETC project manager.
- Maintain the safety and orderliness of the registration office.
- Perform other tasks as requested by line manager.
