Job Descriptions:

The Finance and Admin Officer will support the effective financial, administrative, and operational management of CBE/CBS and EiE programmes. The role ensures proper financial recordkeeping, compliance, administrative support, and coordination of procurement and logistics in line with organizational and donor requirements.

Key Responsibilities

 Financial Management and Recordkeeping

  • Maintain accurate financial records, vouchers, receipts, and supporting documents for all project expenditures.
  • Ensure all financial documentation is complete, properly filed, and ready for audits and donor review.
  • Support compliance with financial procedures and internal controls.

 Payment Processing and Cash Management

  • Prepare payment requests, vouchers, and supporting documents in accordance with finance procedures.
  • Manage petty cash, conduct cash counts, and ensure timely and accurate payments.
  • Ensure payments related to teachers, facilitators, and operational activities are processed efficiently.

 Budget Tracking and Financial Follow-up

  • Track expenditures against approved budgets and provide regular updates to the Project Manager and finance team.
  • Support budget monitoring and cost control to ensure efficient use of resources.

 Administrative and Office Support

  • Manage day-to-day administrative tasks, including filing, correspondence, and office organization.
  • Ensure availability of office supplies and administrative resources for field operations.
  • Support logistical arrangements for trainings, meetings, and field activities.

 Procurement and Logistics Coordination

  • Support procurement processes in line with organizational policies.
  • Assist in purchasing and delivery of supplies such as teaching and learning materials, classroom supplies, and office equipment.
  • Maintain procurement documentation and follow up on timely delivery of goods and services.

Asset, Inventory, and Documentation Management

  • Maintain updated records of assets, inventory, and equipment related to CBE/CBS and EiE classes.
  • Support regular verification of assets and stock.
  • Ensure proper filing and archiving of financial and administrative documents.

Coordination and Compliance Support

  • Coordinate with programme, HR, procurement, and finance teams to support smooth project implementation.
  • Ensure compliance with organizational policies, donor requirements, and financial regulations.

 Support to Education Programme Activities

  • Provide administrative and financial support to CBE/CBS and EiE activities such as teacher trainings, monitoring visits, and community meetings.
  • Assist in logistical arrangements for education programme implementation. .

Competencies and Skills

  • Good knowledge of financial procedures, budgeting, and administrative systems.
  • Strong skills in MS Office (especially Excel and Word).
  • Strong organizational and recordkeeping skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Strong communication and coordination skills.
  • Commitment to accountability, accuracy, and professional conduct.
Job Requirements:
  • Bachelor’s degree in Finance, Accounting, Business Administration, Management, or related field.
  • Minimum 3 years of relevant experience in finance, administration, or operations.
  • Experience working with NGOs or donor-funded projects is highly desirable.
  • Experience supporting education programmes (CBE/CBS or EiE) is an asset.
  • Fluency in written and spoken Dari and Pashto is required.
  • Knowledge of English is an advantage.
