With a Country Office in Kabul and over 200 local staff members countrywide, AFV is implementing sustainable relief programs that are mainly in the rural areas, focusing on supporting children and their families in extreme poverty. Today AFV is engaged in over 21 relief programs serving over 200,000 people per year all over the country. The organization provides technical and financial support to five schools in Kabul, Kunduz and Ghazni provinces; runs vocational training courses for people with disability in Kabul and Ghazni; provides safe drinking Pipe for poor communities in remotest parts of some provinces; supports seven Basic Health Clinics (BHCs) in Kabul Province; and delivers humanitarian assistance particularly in partnership with other local partners.

Job Descriptions:

The IT & Admin Assistant supports AFV’s daily office operations by providing hands-on IT support and routine administrative assistance at the AFV Country Office in Kabul. The role ensures smooth functioning of office IT systems (computers, software, internet/Wi-Fi, printers/scanners) and supports administrative tasks such as office coordination, filing, control of office supplies, and operational follow-ups. Under the supervision of the Operations Lead, the IT & Admin Assistant ensures that IT and administrative support activities are properly delivered, documented, and reported. The IT & Admin Assistant will be responsible for, but not limited to, the following key duties and responsibilities:

 

Key Duties and Responsibilities

Primary responsibilities - IT support and troubleshooting (70%):

  • Provide timely on-site IT support to AFV staff and respond to urgent IT issues; provide remote support when feasible to minimize downtime.
  • Install, configure, and troubleshoot Windows OS and workstations (settings, drivers, updates, performance issues, user accounts)
  • Install, update, and configure required software (MS Office, PDF tools, antivirus, and other AFV-approved applications) while respecting licensing and compliance requirements
  • Set up, configure, and troubleshooting printers, scanners, and other office IT equipment, including shared/network printing
  • Configure, monitor, and maintain internet and Wi-Fi connectivity (router setup, network password updates, stability improvements) and troubleshoot connectivity issues
  • Coordinate with ISPs and external vendors for troubleshooting, escalation, repairs, and follow-up when issues require external support; document actions taken and outcomes
  • Apply basic IT security and data protection practices (cyber security updates, patching support, password/screen-lock guidance, secure handling of data) and immediately report any suspected IT/security incident to the supervisor/management
  • Maintain basic IT records as assigned (IT inventory list/asset serial numbers, user/device mapping, maintenance history, and other logs as per AFV procedures)

Secondary responsibilities – Administrative Support (30%):

  • Support day-to-day office administration, including office coordination, routine email/correspondence follow-up (as assigned), meeting arrangements, visitor support, and internal communications.
  • Support supervision and coordination of support staff (guards, drivers, cook, and cleaner) and monitor daily task completion, attendance, and service quality through regular follow-up.
  • Manage office supplies and stationery control, including maintaining stock/stationery logbooks, processing and recording requests, monitoring consumption, and ensuring proper distribution in line with AFV procedures
  • Maintain orderly filing and records management (soft and hard copies), including lease/rental files, maintenance/service contracts, invoices, and other office documentation; track key dates (expiry/renewals/deposits) and follow up timely
  • Coordinate facilities and logistics follow-up with team, including office equipment/furniture oversight, generator maintenance and fuel management (fuel records and consumption reports), and regular checking of vehicle logbooks and checklists
  • Support asset and utilities compliance, including updating/monitoring the fixed asset inventory database (office/guesthouses/field offices as assigned), ensuring utility bills and relevant office running costs are paid on time within the approved budget, and submitting timely monthly reports (IT & Admin Support Report/Log) to the Operations Lead/line manager
  • Perform any other related duties assigned by the direct supervisor
Job Requirements:

Education:

  • Bachelor’s degree in information technology, Computer Science, or Business Administration, Management with advance certification in IT.
  • Strong working knowledge of Windows OS, MS Office, and common office applications; ability to install, configure, and update AFV-approved software.
  • Basic knowledge of networking (internet/Wi-Fi, router configuration, connectivity troubleshooting) is required.

Work Experience:

  • Minimum 2 years of relevant experience in IT support and office administration (NGO/INGO experience preferred).
  • Experience supporting office networks, printers/scanners, and troubleshooting common IT problems is an asset.

Skills and Abilities: 

  • Strong practical troubleshooting skills and ability to provide user-friendly support to non-technical staff.
  • Ability to work independently, prioritize tasks, and respond quickly to urgent issues.
  • Good organizational skills for filing, documentation, and maintaining logs/records.
  • High integrity and commitment to confidentiality, especially when handling staff and organizational information.
  • Good command of MS Excel and basic reporting/documentation skills.
  • Good communication and teamwork skills; able to follow instructions and meet deadlines.
  • Fluency in Dari and Pashto; basic English communication skills are an asset.
