The Admin/Security Officer is responsible for managing daily administrative operations and ensuring the safety and security of MHCO staff, assets, and facilities. The role provides logistical and administrative support, oversees office management, coordinates staff movements, and ensures proper functioning of security systems and guard performance. The Officer monitors local security conditions, prepares security updates, conducts risk assessments, and ensures compliance with MHCO’s safety, security, and safeguarding policies. This position plays a key role in maintaining an organized and secure working environment that supports the effective implementation of MHCO programs.
Duties & Responsibilities:
- Manage day-to-day administrative operations of the office.
- Oversee office supplies, inventory, asset management, and equipment tracking.
- Maintain proper filing systems (digital and physical) for administrative documents.
- Coordinate maintenance, repairs, and cleanliness of the office and guesthouse facilities.
- Support staff travel arrangements including vehicle scheduling, accommodation, and travel documentation.
- Ensure administrative compliance with MHCO policies and procedures.
- Assist in organizing meetings, workshops, and trainings (venue booking, refreshments, materials).
- Monitor local security context and provide regular updates to management and staff.
- Implement MHCO’s safety and security procedures in the field and office.
- Conduct daily checks of office security, including guards, gates, communication tools, and access control.
- Maintain updated incident logs, security reports, and risk assessments.
- Brief new staff on security rules, communication protocols, and emergency procedures.
- Ensure guards follow duty schedules and maintain discipline.
- Support emergency response planning, including evacuation drills and contingency planning.
- Liaise with community leaders, local authorities, and relevant stakeholders for security coordination (information only; no operational collaboration required).
- Ensure fire extinguishers, first aid kits, and emergency supplies are available and functional.
- Conduct safety inspections of buildings, generators, fuel storage, and electrical systems.
- Support enforcement of visitor screening and entry/exit control.
- Report any safety concerns or suspicious behavior immediately to management.
- Prepare weekly security updates and monthly admin/security reports.
- Maintain records of incidents, administrative logs, guard attendance, and asset movement.
- Support management with timely sharing of relevant information for decision-making.
- Ensure compliance with MHCO’s internal policies, including HR, Admin, and Security procedures.
- Fully adhere to MHCO’s Safeguarding, Child Protection, and PSEA policies.
- Ensure confidentiality and responsible handling of security-related information.
- Promote a safe and respectful workplace environment.
