The IT–Inventory Officer is responsible for providing first-level IT support, maintaining MHCO’s IT infrastructure, and managing the inventory, IT equipment and office assets in Nangarhar. This includes troubleshooting hardware, software, and network issues, configuring and updating systems, ensuring data security, and training staff on safe IT practices. The role also involves accurate record-keeping of assets, assigning tags, tracking equipment movements, performing periodic verifications, supporting procurement, and preparing reports. The IT–Inventory Officer ensures compliance with MHCO IT and inventory policies, maintains organized documentation, and supports audits and operational efficiency across the organization.
Duties & Responsibilities:
- Provide first-level IT technical support to all staff (hardware, software, network issues).
- Install, configure, and update computers, printers, software, and related systems.
- Monitor and maintain internet connectivity and office network systems.
- Ensure all devices are maintained, updated, and protected (antivirus, security updates).
- Troubleshoot technical issues and escalate major problems to IT Coordinator when needed.
- Support staff in using email systems, cloud storage, and digital tools.
- Enforce MHCO IT policies, including data protection and cybersecurity procedures.
- Ensure secure backup of important files and systems.
- Monitor and control user access rights to systems and applications.
- Check that all devices comply with organizational security standards.
- Maintain a complete and updated inventory list of all MHCO IT equipment, office assets, and electronics.
- Assign asset tags and ensure accurate record-keeping for all newly received equipment.
- Conduct periodic asset verification and reconciliation (monthly/quarterly).
- Track movement of equipment between offices and staff (check-in/check-out forms).
- Report lost, damaged, or disposed assets according to MHCO procedures.
- Support procurement of IT equipment, accessories, and software as needed.
- Communicate with suppliers and service providers for maintenance, warranty claims, and repairs.
- Ensure proper documentation (invoices, warranties, service records) is maintained.
- Provide basic IT orientation for new staff.
- Train staff on safe IT practices, data protection, and use of equipment.
- Develop user-friendly guides for common IT issues.
- Prepare monthly IT & inventory reports for the supervisor.
- Maintain organized documentation of inventory logs, repair histories, and asset handover forms.
- Support internal and donor audits by providing accurate IT and inventory records.
