The Admin Assistant is responsible for supporting the smooth daily operations of MHCO’s Nangarhar office by managing office logistics, reception, mail, supplies, and documentation. The role includes coordinating meetings and travel, assisting HR and Finance with staff records and office expenses, maintaining filing systems, preparing reports and presentations, supporting workshops and events, and acting as a focal point for internal and external communications. The Admin Assistant ensures compliance with MHCO policies, safeguarding standards, and confidentiality requirements while promoting an organized, efficient, and professional office environment.
Duties & Responsibilities:
- Manage daily office operations including reception, mail handling, and office supplies.
- Maintain a clean, organized, and secure office environment.
- Coordinate office logistics, including meetings, travel arrangements, and scheduling.
- Assist in preparation of reports, presentations, and official correspondence.
- Maintain accurate records for staff, office assets, and procurement activities.
- Organize and manage filing systems (both electronic and paper-based).
- Ensure timely submission of administrative documentation to relevant departments.
- Assist HR with staff attendance, leave records, and onboarding documentation.
- Support Finance with invoice processing, petty cash management, and office-related expenses.
- Prepare and track office-related purchase requests and orders.
- Act as a focal point for internal and external communications.
- Support coordination between departments, field offices, and partners.
- Respond to inquiries and provide accurate information in a timely manner.
- Assist in organizing workshops, trainings, and official events.
- Prepare meeting rooms, documents, and refreshments as needed.
- Take minutes during meetings and distribute to relevant staff.
- Ensure compliance with MHCO policies, including safeguarding, PSEA, and data protection standards.
- Maintain confidentiality of sensitive information and documentation.
