Job Descriptions:

The Transport Officer is responsible for managing MHCO’s vehicle fleet in Nangarhar Province, ensuring their availability, safety, and operational readiness for daily activities and field missions. This includes overseeing vehicle maintenance, preventive servicing, fuel management, driver supervision, and compliance with MHCO safety and transport policies. The role involves planning and coordinating vehicle movements, maintaining accurate records of fleet operations, monitoring driver performance, supporting vehicle procurement and disposal, and ensuring adherence to road safety standards. The Transport Officer also prepares monthly reports on fleet status and assists in audits while promoting safe and efficient transport operations across the organization.

Duties & Responsibilities:

  • Maintain records of all vehicles, including registration, insurance, and maintenance schedules.
  • Monitor vehicle conditions, plan preventive maintenance, and coordinate repairs.
  • Ensure availability and readiness of vehicles for daily operations and field activities.
  • Track fuel consumption and manage fuel logs accurately.
  • Plan and schedule vehicle movements for staff, field missions, and official activities.
  • Monitor driver performance and adherence to assigned routes and schedules.
  • Maintain a transparent system for vehicle booking and usage.
  • Support transport arrangements for workshops, meetings, and emergency operations.
  • Supervise drivers, ensuring compliance with safety rules, MHCO policies, and road regulations.
  • Conduct regular briefings on vehicle care, road safety, and organizational procedures.
  • Monitor driver attendance, behavior, and performance.
  • Ensure all vehicle operations adhere to MHCO safety and security standards.
  • Maintain first aid kits, fire extinguishers, and emergency tools in vehicles.
  • Report and document accidents, damages, or incidents immediately.
  • Promote safe driving practices and preventive measures among drivers.
  • Maintain vehicle logs, movement records, and maintenance reports.
  • Prepare monthly reports on vehicle usage, fuel consumption, and fleet status.
  • Support audits by providing accurate transport documentation.
  • Assist in coordinating vehicle procurement, registration, and disposal when required.
  • Maintain updated asset inventory records related to transport.

Job Requirements:
  • Bachelor’s degree in Logistics, Supply Chain, Business Administration, or related field.
  • Minimum 3-4 years of experience in fleet management or transport coordination (NGO experience preferred).
  • Knowledge of vehicle mechanics and preventive maintenance.
  • Experience supervising drivers and managing vehicle fleets.
