2. Purpose of the Positions
The purpose of the Warehouse Officer position is to oversee and manage the day-to-day operations of the warehouse, including receiving, storing, dispatching, and maintaining accurate records of all stock items. The role ensures timely availability of materials, optimal utilization of warehouse space, and strict adherence to quality, safety, and compliance standards.
3. Scope of Work
The Warehouse Officer shall be responsible for:
- Managing the receipt, inspection, storage, and issuance of all goods and materials.
- Maintaining accurate stock control records in both manual and electronic systems.
- Ensuring compliance with internal policies, procedures, and regulatory requirements related to warehouse operations.
- Coordinating and supervising warehouse support staff and labor.
- Preparing regular reports on warehouse activities, stock movements, and performance indicators.
4. Duties and Responsibilities
4.1 Receiving & Inspection
- Receive all incoming goods, verify against purchase orders/delivery notes, and ensure quality and quantity compliance.
- Document discrepancies and report damaged or nonconforming items to the relevant department.
4.2 Storage & Inventory Management
- Organize and store goods in accordance with product specifications and company policies.
- Ensure optimal use of warehouse space and correct application of stock rotation principles (FIFO/FEFO).
- Maintain up-to-date inventory records using the company’s Warehouse Management System (WMS) or ERP.
- Conduct regular physical stock counts and reconciliations with system data.
4.3 Dispatch & Distribution
- Coordinate the picking, packing, and dispatch of goods to internal or external customers.
- Prepare delivery documentation and ensure timely dispatch in line with operational requirements.
4.4 Compliance & Safety
- Enforce health, safety, and environmental standards in all warehouse operations.
- Safeguard company property by maintaining appropriate security protocols within the warehouse.
- Ensure proper storage and handling of hazardous or sensitive materials in line with regulations.
4.5 Team Management
- Supervise and guide warehouse staff in the execution of daily tasks.
- Provide training on warehouse best practices, safety, and company policies.
4.6 Reporting & Documentation
- Prepare and submit periodic reports (daily, weekly, and monthly) on stock levels, discrepancies, and warehouse performance metrics.
- Maintain accurate documentation for audits and compliance reviews.
5. Expected Deliverables

7. Duration of Assignment
This is a full-time position. The initial appointment shall be for [one year], renewable subject to satisfactory performance and business requirements.
8. Reporting & Working Relationships
The Warehouse Officer shall report directly to the Warehouse/Logistics Manager and shall liaise closely with the Procurement, Finance, and Operations Departments to ensure seamless supply chain operations.
9. Confidentiality
The Warehouse Officer shall treat as confidential all information related to company operations, suppliers, clients, and inventory under their custody, and shall not disclose such information without prior authorization.
